Understanding Box roles and permissions
Goal
Know what everyone in a Box can do, and what only the owner, a chat's owner or a file's uploader can do.
How it works
Boxes are built on trust between teammates. Access is all or nothing: once you're in a Box, you can see and work on everything in it. There are no private chats or hidden files inside a Box, and no view-only members.
Who can do what
Who | What they can do |
|---|---|
Everyone in the Box | See and chat in every chat. Rename the Box and edit its description and instructions. Add Box Knowledge. Make, rename and delete folders, and move chats between folders. Download a chat's transcript. |
The Box's owner | Everything above, plus add and remove people, change General access, and delete the Box. |
A chat's owner (whoever started it) | Rename or delete that chat, and move it into or out of the Box. |
Whoever added a file | Delete that file, from the Box or from a chat. Nobody else can. |
Good to know
The person who creates a Box is its owner. Ownership can't be handed to someone else yet.
The owner can't delete or move someone else's chat out of the box. Only that chat's owner can.
You can't leave a Box on your own yet. Ask the owner to remove you.
A folder can't be deleted if it holds other people's chats or files.
Before you add people
Because everyone sees everything, keep anything personal or sensitive in a regular chat outside the Box. For what data belongs in AI tools at all, see Data Governance & Classification.
