How to add knowledge to a Box

Updated by bree.pear

Goal

Give every chat in a Box the same files to work from, like a syllabus, a rubric or an SOP.

Quick path

  1. In the Box, click the gear to open Box Settings.

  2. Under Box Knowledge, click Add box knowledge (the + icon).

  3. Upload a file, or pick one from your Knowledge Bank.

Step-by-step

  1. Open Box Settings with the gear icon at the top of the Box.

  2. Find Box Knowledge. If the Box has no files yet, you'll see "No knowledge is attached to this box yet."

  3. Click Add box knowledge and choose how to add a file:

    Option

    What happens

    Upload a file

The file goes straight into the Box. You can also drag files onto Upload Box Knowledge Here.

    Pick from your Knowledge Bank

BoodleBox makes a copy for the Box. The original stays in your Knowledge Bank, untouched.

  4. Wait for the file to finish processing. Once it's listed under Box Knowledge, every chat in the Box can use it.

How Box Knowledge works in chats

  • Box Knowledge stays inside its Box. Only chats in this Box use it, and it doesn't show up in your Knowledge Bank.

  • Every chat in the Box gets the Box's files automatically. Nobody has to attach them.

  • In a Box chat, Box Knowledge takes the place of your starred Knowledge Bank files. Your starred files still attach to your regular chats outside Boxes.

  • Files someone adds inside a single chat belong to that chat, not the whole Box. To share a file with every chat, add it here in Box Settings.

Limits

  • Premium: a Box can hold up to 10 files, and each chat in it can add up to 10 more, so a chat can use up to 20 files in total.

  • Boodle Power: a Box can hold up to 100 files, and each chat in it can add up to 100 more, so a chat can use up to 200 files in total.

  • Some file types have their own caps, and BoodleBox tells you if a file goes over one.

  • The usual file types and sizes apply. See Supported file types and size limits.

Delete a file from a Box

Only the person who added a file can delete it. Click the file's delete option and confirm. Deleting can't be undone, and the file is gone for every chat in the Box. If you try to delete several files and some aren't yours, BoodleBox keeps those and tells you: "Only whoever uploaded a document can delete it, so the ones you didn't upload stayed."

Verify it's working

  • The file is listed under Box Knowledge in Box Settings.

  • Start a new chat in the Box and ask about the file. The answer should draw on it.
